How to Document a Finished Handyman Job: Work, Photos and Open Items

A finished job deserves a better handover than “all done” in a text message. A short, clear record helps the customer understand what was completed, which materials were used and whether anything still needs attention. It also gives the person doing the work a reliable reference if a question comes up weeks later.

Our free job completion record generator gives you a printable document with space for the scope, dates, completed tasks, materials, before-and-after photographs and outstanding items. You can add your own business details, or make a plain unbranded record. There is no account to create.

Start with the agreed scope, not just the final result

Imagine a customer asks you to replace a kitchen mixer tap. “Tap installed” is useful, but it does not tell the whole story. A better record identifies the original request and then states what you actually did: removed the old fitting, installed the agreed replacement and checked normal operation at handover. If the customer also mentioned a slow drain but that was outside the agreed job, record that as an exclusion or a separate outstanding matter. The point is clarity, not a longer document for its own sake.

Use the job reference from the quote or invoice if there is one. Add the job address, the customer’s name and the dates the work started and was handed over. If a task took more than one visit, a short visit or revision note can help distinguish the first record from an updated one.

Write completed tasks so someone else can understand them

List each substantial task separately. Give its location and a plain description of the action taken. “Bathroom — resealed the bath edge after removing loose sealant and cleaning the joint” is more useful than “bathroom sorted”. Do not claim a hidden system was tested or that a leak was cured unless that work and check were actually performed. For cosmetic repairs, describe the cosmetic result and keep structural or waterproofing claims out of the handover unless they have been independently established.

Include important materials or product references where you have them. A tap model, tile batch, paint colour code or sealant product can be invaluable for later matching and maintenance. You do not need to list every screw. Focus on items a customer or future tradesperson might realistically need to identify.

Photographs can clarify the handover

A before photo can show the starting condition; an after photo can show the work at handover. Try to photograph the same area from a similar angle and in decent light. Add a caption that says what is visible. A close-up without context may look impressive but be difficult to connect to the right room.

Keep the original photographs too. A report is a convenient summary, while the originals preserve more detail. If you want a separate presentation image for a portfolio or customer update, the before-and-after photo maker can put two images side by side. Check photographs for private documents, people and security details before sharing either file.

Be direct about work that is still open

Most misunderstandings happen in the gap between “the main work is finished” and “every last item is closed”. Make that gap visible. Add an outstanding item for a part on order, a return visit, a customer decision or an area that could not be accessed. Record who is expected to act next and any date that has genuinely been agreed. Leave a target date blank if there is no agreement yet.

For a larger list of small defects, use the snagging list generator alongside the completion record. The handover document can refer to that separate list without cramming every defect into one paragraph.

Keep regulated certificates separate

A contractor’s handover note can be helpful evidence of what was reported as finished. It is not a substitute for a certificate or inspection required for regulated work. In England, building control has its own process for approving relevant building work and issuing a completion certificate; see the GOV.UK building regulations guidance. Requirements vary with the work and location, so give the customer the actual specialist or building-control documentation where it applies rather than renaming your own record as a compliance certificate.

The tool deliberately calls its output a job completion record. Its optional customer acknowledgement means the person has reviewed or received the record. It is not a statement that they accept unfinished work, waive rights or confirm technical compliance. Leave the acknowledgement blank if the customer has not agreed to it.

Make the PDF useful after everyone leaves site

  1. Enter the reference, people, address and dates. Avoid adding more personal detail than the document needs.
  2. Write the agreed scope and a short, factual completion summary.
  3. Add individual completed tasks and the main materials or model references.
  4. Add relevant before and after photos. Caption each one.
  5. List unresolved items, exclusions and documents handed over. Ask the customer to review the record before adding any acknowledgement or signature.
  6. Download the editable JSON backup before leaving the page. Print or save the PDF, then inspect the file to make sure pages, photos and names are correct.

The generator processes this information in your browser. It does not automatically save the job draft to an account. The editable backup and PDF may contain a customer address, photographs and a signature, so store them carefully and share them only with the intended people.

Common questions

Do I need a customer signature?

No. The record works without one. A signature should only be added with the customer’s agreement, and you should not imply that it waives rights or proves technical compliance.

Can I issue the record with outstanding work?

Yes, if the document makes those items clear. Say what remains, who is expected to act and whether a further visit is planned. Do not label the whole job fully complete when material work is still open.

Is this the same as an invoice or receipt?

No. A completion record describes the work and handover position. An invoice requests payment; a receipt records payment received. Keep those purposes separate even if the documents share a job reference.

Will my photos and signature be saved automatically?

No. Download an editable backup if you may need to revise the record. Clearing browser data or moving to another device can otherwise lose the active draft.
