A prefabricated pool shell can fit the space you’ve chosen and still be difficult to deliver or install. Before comparing prices, confirm the exact shell model, its route from the road to the backyard, and who is responsible for the excavation, lifting, bedding, backfill and connections.
A shell-only price is one part of that project. Your planning file should also show what has been quoted, what remains an allowance and which decisions need the supplier or installer. This guide is about assembling that file for a US project, not specifying a lift or designing the pool installation.

Start with one identifiable shell
Save the model name, drawing revision and supplier’s current installation information. A brochure’s overall dimensions may describe a different boundary from the inside vessel measurements used in a water calculation. Seats, steps, tanning ledges and curved walls also mean a simple length-times-width-times-depth estimate can differ from the stated capacity.
Ask for the supplied water capacity, delivery dimensions and weight, required installation footprint, excavation drawing and bedding/backfill specification. Keep those documents together. If you change the shell model, revisit all the dependent quantities rather than changing only the picture in your budget.
Leisure Pools’ installation overview describes using a model-specific dig sheet before excavation and checking it during the work. That is the useful planning lesson: the chosen shell’s documents drive the installation. The overview isn’t a substitute for your supplier’s current instructions.
Walk the delivery route from the road
Begin where the delivery vehicle will arrive, not at the pool outline. Record the access opening, turns, slopes, overhead obstacles and any surfaces the installation team needs to cross. Photograph the whole route as well as the narrow points. A gate width on its own doesn’t show whether a long load can make the turn behind it.
Identify fences or landscaping that may need temporary removal and who will reinstate them. Tell the installer about buried services, drainage features and any known structures beneath the route. The delivery and lifting team must confirm the proposed method, working area and ground suitability; a homeowner’s sketch doesn’t establish equipment capacity or safe lifting clearances.
Ask for access-related exclusions in writing. If a quote assumes direct access but the agreed method requires a different placement arrangement, the comparison has changed. Resolve that while you can still reconsider the layout or shell choice.

Keep three different volumes separate
Water capacity describes the water inside the pool at the specified level. Excavation volume describes material removed from the ground. Backfill volume is the specified material required around the installed shell. They are related to the same project, but they are not interchangeable quantities.
In particular, don’t subtract water capacity from the excavation volume to order backfill. The shell’s external shape, wall thickness, steps, bedding and installation geometry make that shortcut unreliable. Enter supplier-stated backfill quantities or a separately checked installation schedule.
If the excavation is quoted as a complete package, keep the scope and disposal assumptions with that quote. A loose-spoil factor is an assumption about excavated material; it is not a shell design input.
A capacity example without invented shell dimensions
Suppose a supplier states a capacity of 10,000 US liquid gallons. Using 3.785411784 liters per US gallon gives 37,854.11784 liters, or about 37.854 cubic meters. This is a hypothetical supplied capacity, not the capacity of a named pool model.
The planner can display geometry inputs in inches, but its supplied-capacity override remains labeled in liters. Enter approximately 37,854 liters in that field. A live check displayed 37.85 m³ of water. Choosing USD changes the money label; it doesn’t convert prices.
The override changes the water figure only. It does not validate the default geometry, create a backfill quantity or update every material line to suit an unknown shell. Replace the illustrative dimensions with the selected model’s information, and use supplied schedules for features the simple geometry doesn’t represent.
This is a useful first test before entering a large schedule: confirm that the capacity units match, calculate, and compare the result with the supplier’s document. Ten thousand Imperial gallons would be a different quantity, so retain “US gallons” in your source note.
Turn quotes into clear work packages
For each package, write down its route: one supplied quote, separately scheduled materials and costs, or unresolved. Use “not applicable” only with an actual reason. A missing quote is not a zero-cost package.
- Survey and approvals: drawings, site review, applicable permits and inspections.
- Groundworks: excavation, disposal, temporary works and groundwater arrangements.
- Shell delivery and installation: transport, placement, specified bedding and backfill, and responsibility at each handoff.
- Services and equipment: circulation, filtration, electrical work, water supply and discharge arrangements.
- Safety and completion: barriers, access, commissioning, handover and site reinstatement.
If a package quote includes bedding material and placement, don’t also leave a separate purchasing row enabled for that same bedding. Conversely, if the quote excludes disposal, keep disposal visible as an unresolved or separately priced item. Supplier references and dates are more useful here than a long list of unlabeled numbers.

Resolve site requirements before scheduling excavation
For a US project, use 811 and your state’s before-you-dig process before excavation, following the local notice and response requirements. Discuss private services and any further locating needed for your site with the installer. A clear-looking lawn doesn’t confirm the ground is clear.
Ask the local authority and installation team what approvals, inspections and barrier arrangements apply. The CPSC home-pool barrier guidance is a useful safety reference to bring to that discussion; it does not replace local requirements or confirm that a particular design complies.
Keep groundwater, electrical and structural decisions with the appropriate qualified people. The planner should record those specifications and responsibilities, not quietly supply defaults for them.
Compare the completed scope, then choose the next step
Before accepting a proposal, check its model reference, inclusions, exclusions, quote validity, access assumptions and completion responsibilities against your planning file. Keep optional landscaping separate from essential work so you can see what a smaller project would actually remove.
